Order and line item filters

Exportify filters are skip and keep rules on a support-managed template: an order or a line item is left out of the file when it matches a skip rule, or kept only when it matches a keep rule; tell support the field, the values and whether to skip or keep, and they configure it.

A filter leaves orders, or individual line items, out of the export file when they match a rule. Filters are configured by support on a support-managed template. The date range and status filters you choose when you run an export are separate and available on every plan; this article is about the rules that live in the template itself.

  • Skip rules leave out anything that matches. “Skip orders tagged wholesale” exports everything except wholesale orders.
  • Keep rules leave out anything that does not match. “Keep only orders shipping to Canada” exports Canadian orders and nothing else.

A template can have both. An order is left out if it matches any skip rule or fails any keep rule.

Order rules match on any order field: tags, financial or fulfilment status, sales channel, shipping country or province, payment gateway, a note attribute, and so on. Tag matching ignores case, the same way Shopify does. A rule can also match orders where a field is empty, for example “skip orders with no shipping address”.

An order that is filtered out does not appear in the file at all.

Line item rules work the same way on line item fields: SKU, vendor, product type, product title, a line item property, or an empty field. Only the matching line items are left out; the rest of the order still exports.

Refunded items are a common case. A rule can skip line items that have been fully refunded, and a partial refund keeps the remaining quantity. If every item on an order has been refunded, the order disappears from the file unless you ask us to keep those orders visible.

  • the template name
  • the field to match on and the values, for example “tag wholesale” or “shipping country CA
  • whether matching orders or line items should be skipped or kept
  • an example order number that should be in the file and one that should not, so we can confirm the rule against real data

We configure the rule and run a test export with you before switching it on. Changes to a rule later go through Request Changes on the template or the same email address.
